The Latest In Event Technology, What Planners Need to Know

AI, Virtual Reality, Live Streaming, Event Apps; the list of event technologies continues to grow at a rate that can be difficult to keep up with! Staying up-to-date on the latest event technology is essential for planners who want to create engaging, efficient, and successful events. Today we will explore some of the most important event technology tools that planners need to know and cover everything from AI, to Event Apps, Audio Visual Technology, online surveys, and more!

Artificial Intelligence, What’s all the Hype About?

It seems like every day a new Artificial Intelligence platform is being lauded as the next big thing in the tech world. You may be asking, but what does Artificial Intelligence have to do with event planning? The truth is, AI is what you make it. Think of AI as a personal assistant, someone to proofread your latest email or help jumpstart your next project. Here are a few ways that we have seen event planners use AI:

Brainstorm ideas for a mission statement for your event. Use Chat GPT, Google Bard, or your generative AI platform of choice, to help you brainstorm the perfect mission statement. Tell the program, in detail (the more the better,) about what it is exactly you are looking for. Share event details such as, event takeaways, why people come to the event, the name of the Association you are planning for and how you want the statement to sound. Use the results as a jumping off point that you can fine tune to perfectly capture your mission!

Take a task off your plate and use AI to assist with planning the banquet dinner for your conference! You can use AI to create a list of meal ideas that fit parameters such as seasonality, local cuisines, allergy friendly, and other dietary requirements such as Kosher and Halal options.

During live events, you can use AI recording tools to record and transcribe breakout sessions,  saving you and your team precious time later!

As you can see, Artificial Intelligence is a fantastic tool to get you started on your next event planning project.

Audio Visual Technology

Audio Visual technology plays a huge role in a successful event! Learn more about AV Tech for Meeting planners here.

Event Apps

Event Apps are a convenient way to centralize event information. From event schedules, to off site activity recommendations, an event app is a great option to ensure everyone knows where they are going, and what’s up next! The Visit Greater St. Cloud App can house your event information on a specific icon, as well as a plethora of information about St. Cloud such as a local events calendar, restaurants, places to stay, shopping and more! Event apps are also one way to reduce paper use, and are convenient to update at a moment’s notice.

Event Surveys

It has become increasingly common to receive a link to an event survey at the conclusion of your event. And for good reason! Utilizing a survey to review how your event went is crucial to planning for next time! Event planners can send out the link to the survey via email, or they can share a QR code at the event for attendees to finish the survey before they leave. Either way, using systems such as Jotform or Survey Monkey are easy ways to gain information and ensure that your next event is even more of a success! Learn more about post event surveys here.

Hybrid Events

Everyone is busy! And sometimes that means as event planners, you need to get creative to make sure that people have access to your event, even if they can’t be there in person. No matter what you decide, you will need great AV technology, a streaming platform, and excellent internet service. Read more about digital event planning here.
